To record a real property document in Contra Costa County, California, you may visit the Clerk Recorder, located at 555 Escobar Street in Martinez, California 94553. Their hours are M-F 8:00am-4:00pm. For copies, marriage licenses, and professional filings the hours are 8:00am-4:30pm. Any document, such as a grant deed or deed of trust that is authorized or required by law, can be recorded. The Clerk Recorder’s phone number is 925.335.7900.
DEED RECORDING INFORMATION
The Clerk Recorder offices will not provide document forms and will not assist in the preparation of forms. To prepare a form, your documents need to have at least a 1.5” margin on each vertical side. The top 2.5” of the first page (from the left to the right edges) should be left blank to ensure that your document is recorded and returned efficiently and accurately. The leftmost 3”x5” of this space shows the recording requestor’s name, and also leaves room for the return name and address so that these documents can be returned after recording. The remaining portion of the space is for the recording label. It is important to abide by these margin rules in order to avoid extra fees. For documents that are not 8.5" x 11", all pages will be subject to an additional fee of $3 a page. Pages larger than 8.5" x 14" will not be accepted.
DEED REQUIREMENTS
In order to meet the legibility requirements, your documents will have to scan properly on the high speed digital scanners used by Contra Costa County. To ensure that this process runs smoothly, do not use highlighter pens on your documents. If specific information needs to be highlighted, it should be underlined on the form. In the preparation of documents, only blue or black ink should be used, in a standard font (Times New Roman or Arial) size 9 or larger. Do not use bold type in the body of a document. Documents that have been printed on a laser printer will scan better than documents printed on an ink jet printer.
RECORDING FEES AND PENALTIES
For most documents pertaining to real property, the basic recording fee is $14 for the first page and $3 for each additional page. Add $3 if the document is one of the following: assignment deed of trust, deed of trust, notice of default, reconveyance, request for notice of default, substitution of trustee, notice of trustee sale, or rescission of notice of default. In addition to the basic recording fees, additional fees may be due. The collection of fees includes documentary transfer tax, city real property transfer tax, survey monument fee, and preliminary change of ownership fee. The Clerk Recorder accepts cash, check, credit, or debit cards as a form of payment. Credit and debit transactions are subject to a service fee of up to $6. Debit card transactions are limited to those with a MasterCard logo.
