Document Formatting Requirements

All documents submitted for recording in Washington State must conform to the statutory standards. A cover page is required for documents in which the first page does not contain the necessary index fields or the 3-inch top margin. All pages must conform to formatting requirements for margins, page size, color legibility, seals, and attachments. A cover sheet does not relieve submitters of the responsibility of meeting formatting requirements for all subsequent pages.

*Documents that must be recorded immediately and which do not meet margin and font size requirements may be recorded for an additional fee of $50.

FIRST PAGE REQUIREMENTS

* A 3-inch top margin must be provided. Bottom and side margins should be a
minimum of 1 inch. Subsequent margins should be a minimum of 1 inch.

* The return address must be on the first page, within the 3-inch top margin on the left side.

* The first page of the document (or the cover sheet) must contain the following information: A document title, a reference number, grantor, grantee, a legal description (or abbreviated legal description), the assessor's 11-digit parcel number, and reference numbers of documents assigned or released (if applicable). The parcel number can be obtained by calling 360.875.9301.

* An abbreviated legal description means lot, block, plat, or section, township, range, and quarter/quarter section, and reference to the document page number where the full legal description is located.

* The assessor's 11-digit parcel number should be set forth separately from the legal description and other text.

ADDITIONAL STANDARDS

* If the grantors and grantees are too numerous to name on the first page, include a reference to the document page number where additional names can be found.

* Documents should be submitted on 8.5x11 inch white paper, or 8.5x14 inch white paper. The font size should be at least 8 point.

* Documents must be legible and capable of being imaged.

* Deeds should include reference numbers of documents assigned or released with reference to the document page number where additional references can be found, if applicable.

* Any seller of residential improved or unimproved property should provide a disclosure statement to the prospective buyer. The conditions of this statement can be found in the Washington Revised Code, 64.06.015.
