Document Requirements
Confirm current requirements with the recorder's office before submitting documents.
* Paper should be white and at least 8.5x11 inches, but no larger than 8.5x14 inches.* The ink used must be of a color capable of being imaged, with a font size of at least 8 point. Generally, black ink will work best for document imaging.
* No attachments may be stapled, glued, or otherwise affixed to a document.
* All notary seals must be legible, not in the margins, and capable of being imaged.
First page requirements:
Documents that do not meet the first page requirements will need a cover sheet, which is available from the Grays Harbor County Auditor. Extra page fees will apply if a cover page is used.
* The top of the first page should have a 3-inch blank margin. The 3-inch margin should be left blank. All other margins on the first and on subsequent pages should be at least 1 inch.
* Within the 3-inch top margin, a return address should be given in the upper left side.
* Beneath the 3-inch margin, an instrument title should be given.
* The auditor's file number of documents being assigned or released is to be given after the instrument title.
* The name of the grantor and grantee should be listed.
* An abbreviated legal description with lot, block, and plat; or section, township, and range is needed.
* The assessor's parcel tax ID number relating to the real property should be provided.
- No instrument of sale or conveyance evidencing a sale subject to the tax shall be accepted by the county auditor for filing or recording until the tax shall have been paid and the verification of payment affixed thereto; in case the tax is not due on the transfer, the instrument shall not be so accepted until suitable notation of such fact has been made on the instrument by the treasurer.
