The office of the Recorder of Deeds is responsible for maintaining real property records in Dent County.

Recording Fees

The fee to record a document is $24 for the first page and $3 for each additional page.

For a document that releases or assigns more than one item, the fee is $5 for each item.

Copies are $1.00 per page and $2.00 for certification of a document.

Document Formatting Requirements

* A document shall consist of one or more individual pages printed on one side only and not permanently bound or in a continuous form. There should not be any attachments stapled or otherwise affixed to any page except as necessary to comply with statutory requirements; however, a document may be stapled together for recording, and a firmly attached label with a barcode or return address may be accepted for recording.
* Documents should be written in the English language, or be accompanied by a certified English translation.
* The font size should not be smaller than 8 point and should be in black or dark ink. If a document contains type smaller than 8 point, it shall be accompanied by an exact typewritten copy not smaller than 8 point to be recorded contemporaneously as additional pages of the document.
* The document submitted for recording must be sufficiently legible to produce a readable copy. If it is not sufficiently legible, it should be accompanied by a legible copy, which will be recorded with the document and counted as additional pages.
* White paper of standard copy weight (20#) should be used.
* All signatures in the document should be in black or dark ink and should be of sufficient color and clarity to ensure that the text is readable when reproduced from record. Corresponding names should be typed, printed, or stamped beneath signatures.
* The first page should have a 3-inch top margin to be reserved for the Recorder of Deeds' certification and use. All other margins should be a minimum of .75 of an inch. Non-essential information such as form numbers, page numbers, or customer notations may be placed in the margins. The Recorder of Deeds is not liable to show any seal or information that extends beyond the margins of the permanent archival record.
* Immediately below the 3-inch margin, the following information should be given: the title of the document, the date of the document, all grantors' names, all grantees' names, any statutory addresses, the legal description of the real property, and reference books and pages for statutory requirements, if applicable. If there is not sufficient room on the first page for all of the required information, the page reference within the document where the information is contained should be set out on the first page.
* A cover page is not required, but a filer may choose to present one, which will be recorded as the first page. The cover page must have the 3-inch top margin and first page designations.
* If a document is presented for re-recording, in addition to all other requirements, there must be a new first page or cover sheet with the top 3 inches and the required first page designations.
* The address of the property will not be accepted as a legal description.
* Grantors and grantees must be designated in order to be indexed as such. There is no limit as to combinations or exclusions, but the words "grantor" and "grantee" must be used. It is the filer's or preparer's responsibility to make the designations.
* Statutory addresses must also be designated. For example: "Grantee's mailing address."
* Book and page references are required on certain documents. Release deeds, assignments, etc. must be designated.
