Document Requirements
* Submit documents on 8.5 x 11 inch white paper. Use 20# paper without watermarks or other visible inclusions.
* A document should be one or more pages and should have printing on one side of the page only. Do not use continuous forms or permanently bound forms. Use a 10 point font to ensure legibility.
* No attachments should be stapled or affixed to any page except as necessary to comply with statutory requirements. A firmly attached label with a barcode or return address is acceptable.
* Documents must be sufficiently legible to produce a clear and legible reproduction. Illegible documents must be accompanied by an exact typewritten and legible copy. This will be recorded as additional pages.
* All signatures should be in black or dark ink and must be able to produce a clear reproduction. The corresponding name should be typed, printed, or stamped beneath the signature.
* On the first page, provide a top margin of at least 3 inches for the recorder's use. All other margins should be a minimum of 3/4 of an inch.
* Below the 3-inch required margin the following information needs to be provided: the title of the document, the date of the document, grantors' and grantees' names, any statutorily required addresses, the legal description of the property affected, and reference book and pages for statutory requirements, if applicable. If there is not sufficient room on the first page for this information, state the page number of the document where the information is contained.
* A cover page is not required, but it may be used to meet requirements. If used, it will be recorded as the first page.
* Grantor and grantee names must be designated in order to be indexed. There is no limit as to combinations or exclusions, but the words "grantor" and "grantee" must be used. It is the preparer's responsibility to make the designations.
* Statutory addresses must also be designated, i.e. "grantee's mailing address."
* If reference book and page numbers are required, these must also be designated.
* A property address is not adequate as a legal description.
* A document being presented for re-recording must meet all of the requirements, have a new first page or cover sheet, have the required 3-inch top margin, and have the required first page designations.
