The Ashtabula County Recorder is responsible for recording deeds, mortgages, and other instruments pertaining to real property located in the county.

Recording Fees

Ashtabula County Recorder's Office is unable to accept conveyances and other documents requiring the auditor's stamp by mail.

The fee to record and index a deed, mortgage, affidavit, agreement, annexation, easement, certificate of transfer, land contract, lease, mechanic's lien, partnership, trust document, or power of attorney is $34 for the first two pages. Each page thereafter is $8.

A certified copy is $2 per page.

An affidavit of survivorship is an additional $4 per deed volume/page reference.

The auditor's per parcel transfer fee is 50 cents per parcel and the conveyance fee is $4 per $1,000.

Document Formatting Requirements

After signing your deed and having it notarized, the following items must be sent to the Ashtabula County Tax Map Department at 25 West Jefferson Street, Jefferson, OH 44047:

1. A copy of the prior deed. The property description is reviewed for requirements at the Tax Map Office.

2. A conveyance form and a permanent parcel ID number on the new deed. The tax records are updated and fees are collected by the Auditor's Office. The fee for this is $ .50 per parcel transfer fee and $4 per $1,000 conveyance fee. Checks should be made payable to the Ashtabula County Auditor.

After the information is reviewed by the Tax Map Office, it is sent to the Ashtabula County Auditor. After the Auditor reviews the information, the deed is sent to the County Recorder. Your deed needs to meet the following requirements in order to be accepted by the county recorder:

* At the top of each document, include a blank 3 inch margin. The top left half is reserved for the County Auditor and County Engineer. The top right half is reserved for the County Recorder.

* At the top of each subsequent page in the document, there should be a 1.5 inch margin. Side and bottom margins should be at least 1 inch.

* Font size is to be no smaller than 10 point.

* Paper should be 8.5 x 11 or 8.5 x 14.

* Black or blue ink should be used. The document should not have any highlighted information.

* A notary acknowledgment of the grantor is needed.

* The name of the person who prepared the document, given in the following format: 'This document prepared by NAME.'

* Names should be printed or typed beneath any illegible signatures in the document.

* A recorded grant should include a reference by volume and page to the record of the deed or other recorded instrument under which the grantor claims title, but the omission of the reference will not affect the validity.

An unrecorded document is fraudulent insofar as it relates to a subsequent bona fide purchaser of the same real estate having, at the time of purchase, no knowledge of the existence of the former deed.
