The Register of Deeds is responsible for recording and maintaining real property records in Gray County.

Recording Fees

For recording deeds, mortgages, or other instruments of writing-for first page (not to exceed legal size page 8 " x 14) This includes Heritage Trust and Technology fund fees $21.00

If the name or names of any signer or notary public are not plainly typed or printed under the signatures, the register of deeds shall charge and collect a fee of $1.00 in addition to all other fees provided in this schedule. K.S.A. 28-115(d)

If sufficient space is not provided for the necessary recording information and certification on a document, such information shall be placed on an additional sheet and such sheet shall be counted as a page.

The document shall be of sufficient legibility to produce a clear and legible reproduction. If a document is judged not to be of sufficient legibility, such document shall be accompanied by an exact copy thereof which shall be of sufficient legibility to produce a clear and legible reproduction and which shall be recorded contemporaneously with the document and shall be counted as additional pages. The Register of Deeds may reject any document which is not of sufficient legibility

Office requests a self-addressed stamped envelope for any document that is to be mailed out.

Document Requirements

Documents submitted for recording are returned within 24 hours. Please provide a self-addressed stamped envelope.

* Documents must be signed and notarized. The signatures and notaries must be originals. Photocopies cannot be recorded unless they are certified copies from another recording office. Notary signatures must be legible and must include the expiration date.

* The document must be of sufficient legibility to produce a clear and legible copy. The Register of Deeds may reject any document that is not sufficiently legible.

* Documents should be submitted on 8.5 x 11 inch white paper. Black ink should be used, with a minimum font size of 10 point.

* A top margin of 2.5 inches should be left blank for recording purposes.

* The grantor, lessor, grantee or lessee or any other person conveying or receiving real property shall give the register of deeds the full name and last known post-office address of the person to whom the property is conveyed. The register of deeds shall forward such information to the county clerk of the county who shall make any necessary changes in address records for mailing tax statements.

* A legal description of the real property being conveyed is required. City descriptions include lot, block, and addition or subdivision name. Boundaries indicated by a metes and bounds description should include section, township, and range. If a document references a previously recorded instrument, the reference book and page should be provided.

* Deeds should be accompanied by a Kansas Validation Questionnaire form, or an exemption should be stated in the body of the deed.

* The consideration paid should be stated in the deed.
