Document Formatting Requirements

* Individual pages of a document should be legal size or smaller. Legal size is 8.5x14 inches. Paper size should not be smaller than 8.5x11 inches.

* The first page should have a 3 inch top margin and a 1 inch margin at the right, left, and bottom. Subsequent pages need a minimum of a 1 inch margin on all sides.

* The text of the document should be at least 8 point and should be written or typed in black ink.

* All seals on the document must be capable of being scanned or microfilmed. Seals may not extend into the margins.

* Attachments may not be affixed to any page in the document.

* All pages containing printing will be considered a page of the document and will be recorded as such. If a printed page should not be recorded with the
document, it should not be included.

Cover Sheet:
A Kittitas County Auditor/Recorder's Indexing form should be submitted with documents. The auditor will rely on the information contained in the indexing form and will not read the document to verify the accuracy of or completeness of the indexing information provided. The indexing form should contain the following:

* A 3-inch top margin.
* A return address, given below the 3-inch margin.
* Document title(s), or transactions contained in the document.
* Grantor (last name, first name, middle initial). If there are more than two grantors, list the page number where additional grantor's names are located.
* Grantee (last name, first name, middle initial). If there are more than two grantees, list the page number where additional grantee's names are located.
* Legal description given in lot, block, and plat or section, township, and range. If there is more than one legal description in the document, provide the page number where those descriptions are located.
* The assessor's property tax parcel/account number(s) for the property.
* Reference number of documents assigned or released. If there are additional references, provide the page number of where they are located in the document.


Washington State Law requires that a Real Estate Excise Tax Affidavit be completed and signed prior to a deed being recorded to transfer ownership of real property. The Kittitas County Treasurer's webpage has a copy of this form, as well as instructions, available for download.
