Document Formatting Requirements

* Documents should be on white 20# 8.5 x 11 inch paper. Individual sheets should not be bound together at the top, sides, or bottom. There should not be other documents or materials physically attached to the paper.

* On the left and right sides and the bottom of each page, provide a margin of at least 1 inch.

* At the top of the first page, provide a space of 3 x 3 inches. At the top of each succeeding page, provide a 1 inch margin.

* The text should be in Times New Roman, a font size of at least 10 point, and in black ink. There should not be more than 9 lines of text per vertical inch. Single-sided printing is required.

* Documents should not contain colored marking or highlighting. Highlighted areas will show up as darkened when the document is scanned.

* Do not include a stamp or seal that overlaps any text or signature, except in the case of a validated stamp or seal from a professional and licensed engineer or land surveyor.
* Documents must be clearly readable and capable of producing a legible imaged record. Before accepting a document conditionally, the recorder shall require the person who requests the recording to sign a statement that the person has been advised of the requirements. This statement will be recorded with the document.

* Documents affecting title to real property must be properly acknowledged.

* A name and address where the document is to be sent after recording should appear on the first page.

* The names of the parties to be indexed must be contained in the document.

* A notice of completion, declaration of homestead, lien or notice of lien, affidavit of death, mortgage or deed of trust, and any conveyance or agreement to convey real property must contain the grantee's mailing address. If there is no grantee, include the name and mailing address of the person who is requesting the recording.

* The assessor's parcel number should be in the top left corner of the first page. This is needed for a notice of completion, declaration of homestead, lien or notice of lien, affidavit of death, mortgage or deed of trust, and any conveyance or agreement to convey real property.

* Include the name and address of the person to whom the property tax bill is to be mailed.

* Real property documents require a legal description. If the description is in metes and bounds, provide the name and address of the person who prepared the legal description or the document number/book and page number of a previously recorded document with the legal description.

* At the top of the first page, provide a document title.

* One of the following statements should be on the front page of a document prior to recording: "I, the undersigned, hereby affirm that this document submitted for recording does not contain a Social Security number," or, "I, the undersigned, hereby affirm that this document submitted for recording does contain a Social Security number of at least one person, as required by law. Legal requirement cited in the following specific statute:_____________."

DECLARATION OF VALUE

A State of Nevada Declaration of Value must accompany all deeds presented for recording. Documents that transfer an interest in real property but are non-taxable do not require a Declaration of Value. Non-taxable documents are a lease for a term of years, an easement, a deed of trust or common law mortgage, an affidavit of surviving tenant, and a conveyance or a right of way.

The Declaration of Value is provided by the Nevada Tax Commission and may not be materially altered or added to. If a deed is presented with an incomplete Declaration of Value, the recorder may refuse the items for recording. This form is available on the Elko County Recorder's webpage.
